Capture the report

Residents can report an issue by phone, WhatsApp or email, with client-app integration available through an agreed setup. Prospero gathers the location and relevant details so the team has a useful starting point. Typical reports include lighting, lifts, entrance doors, gates, intercoms, plumbing and drainage.

Keep the details together

Keep the conversation and reported issue connected in a Case in Tempest OS. Follow-up information and corrections can update the existing record, helping the team work from a shared account of the problem.

Review, assign and coordinate

The responsible team reviews the report, confirms priorities and coordinates the next action. Property managers can instruct third-party contractors and collaborate with internal colleagues in Tempest OS. Decisions on responsibility, expenditure and attendance stay with the authorised team.

Keep the resident informed

Use Comms to prepare and share updates through the configured approval process. When a resident asks what is happening, Prospero can draw on the latest available Case activity and contractor updates within their permitted access. An update to the operational record informs the next conversation.

Follow through on unfinished work

Managers can ask Miranda which Cases need attention or chasing. She helps authorised staff find the relevant record and work with contractor information. Teams review progress and the evidence available before deciding the next action.

Implementation scope

Repair priorities, emergency instructions and out-of-hours escalation are configured for each client. Contractor attendance and completion depend on the responsible team and service arrangements.
